Volunteer FAQ
What positions are available?
There are three types of positions available. Committee positions are opportunities to serve on the planning committee and make decisions related to how the conference is organized. Session-Support positions are only related to supporting work to prepare selected speakers for the conference. Day-Of positions support the actual execution of the conference
These are available positions are with the number of available positions in parentheses:

Sponsor Coordinators (4)
- Lead organizer of the conference opening session & keynote presentation(s)
- Deliver sponsorship benefits to sponsors before and during the conference
- Collect marketing materials from sponsors to give to the Marketing team

Session Associates (1)
- Participate in rating sessions during the blind review
- Work with Speaker mentors to ensure session delivery is outstanding
- Collaborate with the Session Lead to strategy for session selection & delivery

Procurement Officer (1)
- Responsible for acquiring all conference materials (marketing, sessions, sponsorships, etc)
- Attend meetings to track details needed for the conference
- Work with the Finance lead to project the costs of conference materials
- Work with Onsite Coordinators to bring stored materials to conference location

Marketing Associates (1)
- Develop marketing content in accordance with the content schedule
- Work with Marketing Lead to develop new ideas for marketing content and provide feedback on content schedule
- Record videos and take photos during the conference to post content during the conference
- Submit all content, with the exception of day-of conference posts, to the Marketing Lead for approval

Swag Deliverer (1)
- Lead the Committee in picking the gifts for the different types of people
- Collaborate with Marketing to design in accordance to our branding
- Lead any discussions with vendors in collaboration with Procurement office
- Identify within the schedule when swag should be given out during the conference
- Identify methods of how to pick individuals to receive swag
- Check with the team on the methods to give out swag to attendees to make sure its a fair and equitable process
- Responsible for giving out gifts to Speakers, Keynote Speaker, Sponsors, and conference attendees

Financial Lead (1)
- Collaborate with different department leads to redesign the Salesforce org
- Identify tools and processes to support the business processes of Dreamin' Events
- Implement new processes, tools & applications, and train the Committee team members

Ticket Manager (1)
- Responsible for designing the check-in process
- Handles all ticket cancellations and transfers
- Answer questions via email to the registration address
- Handles all ticket questions on site
- Responsible for handing out reception tickets
- Session Support

Speaker Mentors (5)
- Individuals that guide and support speakers by reviewing session abstracts and presentations
- Day-Of Support

Demo Jam Presenter (1)
- Lead MC of the sponsors’ demo jam presentations and polling of the audience to choose a demo jam winner

Onsite Coordinator (2)
- On the ground support to ensure the conference runs smoothly and completes various tasks assigned
What is the time commitment?
Committee positions have a ~ 1 - 3 hour weekly commitment that includes a 1 hour weekly meeting. These positions also commit to volunteering from August 2024 - June 2025 until the end of the conference.
Session-Support position will not exceed more than 15 hours volunteer hours between March 2025 - March 2025.
Day-Of Support positions will need to be available all day starting 6pm ET Wednesday, June 25, 2023 thru 6pm ET Wednesday, June 25, 2023.
What benefits will I receive volunteering?
Different benefits are available for different positions. Committee positions are offered full financial assistance to attend the conference if needed. Session-Support positions are offered a 100% discount to attend if they choose. Day-Of Support positions are offered a free ticket and are able to attend sessions that do not impede on their day-of responsibilities.
All benefits are subject to be revoked if the duties and responsibilities are not performed to the specified expectations.

When will I hear about my application?
Applications are reviewed on a rolling basis. Please allow for 7 - 14 business days for the team to respond to your application.
I want to volunteer but none of the positions fit my skills. Are there other positions available?
No, at this time we have identified the roles we need to support the conference. If you feel strongly about adding value to the team, please provide a detailed description of the support that you can bring to the team and conference to volunteers@dreaminevents.com. Please allow for 7 - 14 business days for the team to respond to your email.
